Introduction
Archiving will move emails from the network mail server for the local computer, where you will continue to have the ability to access them.
You can archive files manually whenever you want. This way, you can control which items to record, where to store them, and how old a thing should be before it can be archived.
By offering its users two ways to manage emails, instead of letting them delete them themselves, IMAP allows them to move emails to a special archive folder instead of the drawer that most people have at home, where small items and documents are stored, so they don’t lie around the house. When you archive an email, it disappears from your inbox but is not deleted. Instead, it will be moved to your inbox archive folder, where you can retrieve it at any time.
In Outlook Desktop, archiving an email means moving your email from the most important Outlook PST file to a new PST file; you can then move the new file to a new PST file and access your archived email at any time. In Outlook Web, archive emails mean moving an email from a root folder in the inbox to the archive folder.
How To Archive Emails In Outlook
First Way:
Click Browse and choose the folder in which you want to save your Outlook archive file. If you have not opened the Archive in Outlook, you must open the archive folder to access the archived emails. With the introduction of the incredible tool that merges folders, data, and files, the Kutool function will do this for you in Outlook.
Once the Archive is created, you can move the resultant PST file where you want – select the archive folder or subfolder in the archive pop-up window and then select the folder in which you want the archive entry – select an archive entry from the old drop-down list and specify the date on which you want the message archived.
To view archived emails, click the Archived folder on the left side of your email inbox, accessible from the menu on the left after deleting items from a folder. There is also an option to archive in the search bar of your email inbox on the left of the delete button.
If you prefer to archive messages in folders rather than individual folders, select the archive folders according to their auto-archive settings; if you create multiple files, you want each archive folder to use a different setting. Click the Archive Subfolders option and select the folder that you want to archive.
To use the Cleanup Tool menu, click the Cleanup Tool drop-down button in the Mailbox Cleanup Info submenu, click Archive, select the folder to Archive, and then click the folder name. To select an email, enter a date in the field next to the older Archive and click the arrow to select a date for that item as the date of your entry. For example, you can enter 1 / 1 / 18 for an archive folder created in 2018.
Click Browse to select a custom location for your Archive. If you also want to name your archive files and archive your emails elsewhere, click Browse and enter a filename such as “save-work-mail-archive.pst” or a location such as my-documents.
If you want to find old emails or appointments, you have to open the archive folder – as we know, archive folders are in Outlook – and the older items in the folder, the faster Outlook moves them – will move items to the folder or PST file you specified.
